Terms of Service

Clear rules for using Appoint.

These Terms of Service govern your access to and use of Appoint by Vulcan — the professional scheduling platform. By creating an account or booking an appointment through Appoint, you agree to these terms.

Definitions & Parties

These Terms establish a binding agreement between Vulcan Apps ("we", "us", "Appoint") and anyone who accesses or uses the Appoint by Vulcan platform at appoint.byvulcan.com.

HostA registered professional or business that creates booking pages, sets availability, and receives appointments through Appoint.
InviteeA person who visits a Host's booking page and schedules (or attempts to schedule) an appointment. Invitees do not need an Appoint account.
Booking PageA public-facing page generated by Appoint for a Host, listing available time slots and service options.
Event TypeA configurable appointment template created by a Host (e.g. "30-min consultation", "Strategy session").
Smart RoutingAppoint's AI-assisted scheduling feature that distributes bookings among multiple team members based on availability and configured rules.
ServicesAll features, APIs, widgets, and related offerings provided under the Appoint platform.

The Service

Appoint by Vulcan is a professional scheduling platform. It enables Hosts to publish availability calendars, accept bookings from Invitees, send automated confirmations and reminders, collect payments, and manage appointments — all without back-and-forth email.

Platform role. Appoint is a scheduling infrastructure provider, not a party to any appointment or service agreement between a Host and an Invitee. We do not vet, guarantee, or endorse any Host's services.

What we provide

  • Customizable booking pages with your brand, logo, and domain
  • Calendar synchronization (Google Calendar; Microsoft Outlook in Phase 2)
  • Automated email and WhatsApp reminders for Hosts and Invitees
  • Payment collection via integrated payment processors
  • Smart Routing for team scheduling and round-robin distribution
  • Analytics, no-show tracking, and appointment history
  • Public API and embedding widgets for third-party sites

What we do not provide

  • Video conferencing (we integrate with third-party tools; we do not host calls)
  • Legal, medical, financial, or any professional advice
  • Guarantees that Invitees will attend booked appointments
  • Storage of payment card data (handled entirely by our payment processors)

Account Registration

To create an Appoint account as a Host, you must provide a valid email address and complete the registration process. You may also sign in via Google OAuth, in which case we receive only the profile information Google makes available.

Account security is your responsibility. You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. Notify us immediately at hello@appoint.byvulcan.com if you suspect unauthorized access.

Eligibility

  • You must be at least 18 years of age to create a Host account.
  • If you register on behalf of a business or organization, you represent that you have authority to bind that entity to these Terms.
  • One person or legal entity may not maintain more than one free account. Additional accounts for team members are managed through our Teams plan.

Accurate information

You agree to provide accurate, current, and complete information during registration and to keep that information updated. Providing false information — including fake business names or misleading service descriptions — may result in immediate account suspension.

Host Obligations

As a Host, you operate a public booking page through our platform. You take on specific responsibilities toward your Invitees and toward us.

Toward your Invitees

  • Maintain accurate availability: Keep your calendar synchronized and promptly update blocked times to avoid ghost bookings.
  • Honor your appointments: Attend or fulfill scheduled appointments. Repeated no-shows from Hosts will result in account review.
  • Inform Invitees of your own policies: Cancellation fees, rescheduling windows, refund policies, and service terms are your responsibility to communicate clearly on your booking page.
  • Collect only necessary data: When collecting custom information from Invitees via booking form fields, request only what is genuinely needed to prepare for the appointment.
  • Respect privacy: You act as the data controller for Invitee information you collect. You must have a lawful basis for any use of that data beyond fulfilling the appointment.

Toward Appoint

  • Pay applicable subscription fees on time.
  • Use the platform only for legitimate professional scheduling purposes.
  • Do not misuse integrations (calendar, payment, WhatsApp) in ways that violate the terms of those third-party services.
  • Report any abuse, bugs, or security issues to us rather than exploiting them.

Invitee Terms

Invitees access Appoint booking pages to schedule appointments with Hosts. No account is required to book.

By submitting a booking form, you: (a) consent to Appoint processing your scheduling data (name, email, phone, answers to form questions) on behalf of the Host; (b) agree to receive transactional communications — confirmation, reminder, and rescheduling messages — relating to your appointment; and (c) acknowledge that you are entering into an appointment agreement with the Host, not with Appoint.

Cancellations and refunds for Invitees. Cancellation policies, rescheduling windows, and any payment refunds are set by the individual Host. Appoint does not control these policies. If you have a dispute about a refund or a service not delivered, contact the Host directly. If a Host is unresponsive or acting in bad faith, contact us at hello@appoint.byvulcan.com and we will review the situation.

For your rights regarding the personal data you provided to a Host through our platform, please refer to our Privacy Policy and contact the Host directly — they are the data controller for that information.

Plans & Payments

Subscription plans

Appoint offers a free tier and paid plans (Pro, Teams, Agency). Plan details, feature limits, and current pricing are published at appoint.byvulcan.com/pricing and are subject to change with notice.

Billing cycle

  • Paid plans are billed monthly or annually, in advance.
  • Annual plans are offered at a discount and are prepaid for 12 months.
  • Your subscription renews automatically at the end of each billing cycle unless you cancel before the renewal date.

Payment card data is handled entirely by these processors and never stored on Appoint servers. By subscribing, you also agree to the terms of the applicable payment processor.

Appointment payments (Host-collected)

Hosts may optionally collect payment from Invitees at the time of booking. These payments flow through the Host's own payment processor account. Appoint facilitates the integration but is not a party to those transactions and does not hold or transfer funds on behalf of Hosts.

Taxes

Subscription prices may be subject to local taxes (VAT, GST, ISS, etc.) depending on your location. Applicable taxes will be displayed at checkout. Brazilian customers are subject to ISS and other applicable taxes under Brazilian law.

Cancellations & Refunds

Cancelling your subscription

You may cancel your Appoint subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period — you retain full access until then.

No partial refunds. We do not issue prorated refunds for unused time in a billing period after cancellation, except where required by applicable law (including Brazilian consumer law — Código de Defesa do Consumidor, art. 49, for subscriptions purchased online and cancelled within 7 days of purchase).

Refund requests must be submitted to hello@appoint.byvulcan.com with your account email and a description of the issue.

Prohibited Use

You may not use Appoint for any unlawful purpose or in any way that could harm us, other users, or third parties. The following are explicitly prohibited:

Operational violations

  • Creating fake booking pages to deceive or defraud Invitees
  • Using Appoint to collect personal data for purposes unrelated to scheduling
  • Sending unsolicited commercial messages (spam) via Appoint's reminder or notification systems
  • Circumventing platform limits (e.g. creating multiple free accounts to avoid plan limits)
  • Attempting to reverse-engineer, scrape, or systematically extract data from the platform

Content violations

  • Publishing booking pages for illegal services or activities
  • Using Appoint for scheduling of services involving adult content, weapons, controlled substances, gambling, or other regulated industries without proper licensing
  • Impersonating another person, business, or professional
  • Uploading malicious code, viruses, or disruptive scripts

Security violations

  • Attempting to gain unauthorized access to other user accounts or platform infrastructure
  • Conducting denial-of-service attacks or load-testing without our written consent
  • Exploiting security vulnerabilities instead of reporting them responsibly
Violation of these prohibitions may result in immediate account suspension without refund and, where applicable, referral to law enforcement authorities.

AI-Powered Features

Appoint uses artificial intelligence to power certain features, including Smart Routing (optimal booking distribution among team members) and scheduling suggestions. These features process anonymized availability and booking pattern data.

AI assistance, not decisions. AI features are tools that assist you — they do not replace your judgment. Appoint is not liable for business decisions made based on AI-generated suggestions. Smart Routing assignments can always be overridden by a Host.

We do not share identifiable personal information of Hosts or Invitees with AI providers. Inputs are limited to scheduling metadata (slot availability, event type configuration, anonymized load data).

Calendar & Third-Party Integrations

Appoint connects to third-party services to deliver its core functionality. By enabling an integration, you authorize Appoint to act on your behalf with that service under the permissions you grant.

Incremental authorization

We request calendar write permissions only when you explicitly enable calendar sync in your account settings — not at login. You may revoke any integration at any time from your account settings or from the third-party service's own permissions panel.

Third-party terms

Each integration is also subject to the third party's own terms of service. We are not responsible for changes in availability, API behavior, or terms made by third-party providers.

Branding & Intellectual Property

Our intellectual property

All platform software, design, trademarks, logos, and content created by Vulcan Apps (including the Appoint name, the “A” logo, and UI elements) are owned by or licensed to Vulcan Apps. Nothing in these Terms transfers ownership of our intellectual property to you.

Your branding on the platform

You retain full ownership of your own brand assets (logo, name, color palette) that you upload to customize your booking page. You grant us a limited, non-exclusive license to display those assets on your booking page and in communications sent on your behalf (confirmations, reminders). This license ends when you delete those assets or terminate your account.

Attribution

Free plan booking pages include a small “Powered by Appoint” badge. Paid plans may remove this badge from their public booking pages.

White-label on Agency plan. Agency plan subscribers may remove all Appoint branding and use custom domains, subject to our Acceptable Use Policy.

User Content

“User Content” means any text, images, logos, service descriptions, and form fields that you create, upload, or configure within Appoint (booking page copy, event descriptions, custom fields, etc.).

  • You are solely responsible for the accuracy and legality of your User Content.
  • You grant Appoint a limited license to display and transmit your User Content as necessary to provide the Service.
  • We do not claim ownership of your User Content.
  • We may (but are not obligated to) review and remove User Content that violates these Terms or applicable law.

Indemnification

You agree to defend, indemnify, and hold harmless Vulcan Apps and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising out of or relating to:

  • Your use of the Service in violation of these Terms
  • Your User Content
  • Your interactions with Invitees, including disputes over services, payments, or cancellations
  • Any misrepresentation you make to Invitees on your booking page
  • Your violation of any third-party rights, including intellectual property or privacy rights

Disclaimers

The Service is provided "as is" and "as available." To the fullest extent permitted by law, Vulcan Apps disclaims all warranties, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

  • We do not warrant that the Service will be uninterrupted, error-free, or secure at all times.
  • We do not warrant that all bookings submitted by Invitees will be genuine or that Invitees will attend their appointments.
  • AI-powered features (Smart Routing, suggestions) are probabilistic in nature and may occasionally produce suboptimal results.
  • We are not responsible for third-party service outages (Google Calendar, WhatsApp, payment processors) that affect Appoint functionality.

Limitation of Liability

Important — please read carefully.

To the fullest extent permitted by applicable law, in no event shall Vulcan Apps be liable for:

  • Indirect, incidental, special, consequential, or punitive damages
  • Loss of profits, revenue, data, goodwill, or business opportunities
  • Damages resulting from unauthorized access to or alteration of your data
  • Damages resulting from third-party actions or third-party service failures

Our total aggregate liability to you for any claims arising out of or relating to these Terms or the Service shall not exceed the greater of: (a) the total amount you paid to Appoint in the 12 months preceding the claim; or (b) USD 100.

Suspension & Termination

By you

You may terminate your account at any time by contacting hello@appoint.byvulcan.com or using the account deletion option in your settings. Upon termination, your booking page will be unpublished and your data will be deleted per our Privacy Policy retention schedule.

By us

We reserve the right to suspend or terminate your account, with or without notice, if:

  • You violate any provision of these Terms or our Acceptable Use Policy
  • Your account is involved in fraudulent, abusive, or illegal activity
  • You fail to pay applicable subscription fees and do not resolve the payment within 10 days of notice
  • We are required to do so by law or court order

We will make reasonable efforts to give advance notice of suspension except where doing so would compromise security, harm another user, or violate legal obligations.

Effect of termination

  • Pending bookings: Hosts are responsible for notifying their Invitees of cancellations resulting from account termination.
  • Data export: You may request an export of your data before termination. After account deletion, we cannot recover your data.
  • Survival: Sections 11 (IP), 13 (Indemnification), 15 (Limitation of Liability), and 17 (Dispute Resolution) survive termination.

Dispute Resolution

Informal resolution first

Before filing any formal claim, you agree to contact us at hello@appoint.byvulcan.com and give us 30 days to resolve the dispute informally. Most issues can be resolved this way.

Arbitration (international users)

If informal resolution fails, disputes shall be resolved by binding arbitration administered under the rules of the applicable arbitration body in your jurisdiction, except where prohibited by local consumer protection law.

🇧🇷 Brazil: Brazilian consumers may also use the PROCON network, the Consumidor.gov.br platform, or file claims in the Juizado Especial Cível (small claims court) without the need for an attorney for claims up to 40 minimum wages. These rights cannot be waived.

Class action waiver

You agree that any dispute resolution proceedings shall be conducted only on an individual basis, not in a class, consolidated, or representative action, to the extent permitted by applicable law.

Governing Law

These Terms are governed by the laws of Brazil (for users based in Brazil), the laws of the applicable EU member state (for EU-based users), or the laws of the State of Delaware, United States (for all other users), without regard to conflict of law principles.

Changes to These Terms

We may update these Terms from time to time to reflect changes in our services, legal requirements, or business practices. When we make material changes, we will:

  • Post the updated Terms on this page with a revised "Last updated" date.
  • Send an email notification to all active Host accounts at least 14 days before changes take effect.
  • Display an in-app banner for signed-in users during the notice period.

If you continue to use Appoint after the effective date of revised Terms, you are agreeing to the updated version. If you do not agree, you may cancel your account before the effective date.
